The multi-company chaos

"Tracking sheer number of bookmarks/documents across multiple teams, multiple SaaS accounts for different companies requiring log in/out is chaotic!" Jon explains.

The slow switching of core SaaS apps is the reality of multi-company operations. Three separate Google Workspace accounts. Different Airtable bases for each company. Separate Teamwork instances. Every tool is duplicated across three entities, each requiring its own login. Within each app, Jon uses Saved Items which are bookmarks that appear in the app's tooltip menu. Hover over Poseidon's Airtable and the menu shows all the specific resources for that company. Hover over WORLDS' Airtable and there's a different set of Saved Items for that entity.

"Wavebox really is the meta-browser," Jon notes, referring to the multiple organizational dimensions: Spaces for account separation, Groups for functional clustering, Saved Items for quick access to specific resources.

Desktop Web Apps: the OS speed layer

For tools Jon wants instant access to, he uses Wavebox's Desktop Web Apps feature. These live outside the webdock as separate apps installed on his Mac, each triggered with a keyboard shortcut.

"I have a function key per main desktop web app," Jon explains. F5 opens his TSD (Ticket Sales Dashboard). Other function keys map to marketing dashboards, venue databases, and operational tools. Because they're actual desktop apps, they appear in macOS's Cmd+Tab switcher.

"I can very quickly switch using the Mac's switcher. It's just muscle memory after 30 years of using Macs. The speed of switching day-to-day, less need to log in/out to change profiles."

So Jon runs a two-tier system: Desktop Web Apps with keyboard shortcuts (at macOS level) for the tools he opens all day, and everything else organized in the webdock by function, unified across Spaces. The Desktop Web Apps still integrate with Wavebox (search works, notification badges appear), they simply live outside the webdock for speed.

The scale challenge

The custom icons he's chosen for each app provide visual clarity, color-coded by team and carefully selected to be instantly recognizable. "I've spent a long, long time selecting the icons very, very carefully to try and be clear."

Spaces: The foundation layer

"It's kind of keeping secure boundaries between different entities, even though I'm CEO of all three," Jon explains. Each company has its own Google account, its own Gmail, its own Drive, its own Calendar. Spaces keep these accounts from ever conflicting. The separation is complete and automatic.
